    • Business Development Coordinator

      Rubenstein seeks a Business Development Coordinator to support the firm’s business development function.

      The Business Development Coordinator will provide strategic support for the business development team. This person will assist with research, writing, editing, proofreading, presentations, compiling reports, project management requests, and will also handle administrative tasks (i.e., answering phones, scheduling).

      ESSENTIAL RESPONSIBILITIES

      • Manage archives of all supporting documents for business development efforts
      • Conduct background research on a variety of sectors and organizations via traditional methods, media coverage, and digital platforms
      • Draft research summaries in clear, concise prose
      • Assist with the proofreading and updating of executive bios, case studies, and other materials, as needed
      • Proof, edit and assist with proposal writing projects and client contracts
      • Maintain status report of proposal tracking system
      • Prepare PowerPoint presentations for client meetings
      • Administrative support in preparation of weekly status reports, internal reports and other related department support needs

      KNOWLEDGE & SKILLS

      • Must be well-organized and able to prioritize all daily activities with a keen eye for detail

    • Executive Assistant

      Rubenstein is seeking an Executive Assistant to provide support for senior executives in two of the firm’s divisions.

      The ideal candidate is discreet, trustworthy and personable, and will have administrative experience in a corporate setting and specific, demonstrable capabilities, including: superlative detail-orientation, the ability to juggle many tasks in a deadline driven environment, heavy calendar management and phone work for senior leadership, flawless coordination of travel arrangements including all pre-travel prep and post-travel evaluation across multiple time zones, excellent organizational skills, superior written and verbal communication skills, a strong aptitude for Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), and a strong acumen for internet research and social media.

      ESSENTIAL RESPONSIBILITIES

      In addition to mastery of general administrative assignments, the successful candidate will be instrumental in the groups to organize all facets of their day-to-day activities.

      • Answer incoming calls and field requests, as needed; maintain phone/call logs for Senior Vice Presidents, Executive Vice Presidents and Managing Directors
      • Handle all meeting and calendar scheduling
      • Greet and escort guests to conference rooms; ensuring proper set-up in advance
      • Coordinate travel arrangements
      • Manage administrative tasks such as making copies and preparing documents for internal and external meetings
      • Conduct research and information gathering for meetings and presentations, as directed
      • Compile departmental weekly reports and submit to senior management each Friday
      • Track executives’ expenses; submit and reconcile expense reports
      • Maintain a schedule of all vacation, personal, sick and work from home time for each member of the group that is regularly relayed to Human Resources
      • Develop a deep understanding of Rubenstein’s business and procedures

    • Operations & Finance Assistant

      Rubenstein is seeking an Operations & Finance Assistant to assist with the creation, data entry, and maintenance of client contracts, accounting memos, client lists and other critical business, financial and operating materials at the firm. This person will primarily work closely with and directly assist the Vice President of Operations and Finance. This person will also assist the Chief Operating Officer on various special projects and facilities procedures, as needed.

      The ideal candidate is hands-on, self-motivated, adaptable, trustworthy, and will have experience in operations & finance administration in a corporate setting. This person will also have specific, demonstrable capabilities, including: excellent organizational and research skills, the ability to juggle many tasks in a deadline driven environment, a keen attention to detail, superlative anticipatory and problem solving skills, superior written and verbal communication, and a strong aptitude for Microsoft Office Suite (Outlook, Word, Excel, PowerPoint and Access).

      ESSENTIAL RESPONSIBILITIES

      • Provide a range of administrative support to the Vice President of Operations and Finance, including, but not limited to: answering phones, monitoring and responding appropriately to emails, scanning documents, tracking client communication, calendar maintenance, booking conference rooms, agenda/meeting preparation, and the preparation and submission of the VP’s weekly reports
      • Assist with the drafting of contracts, amendments, and other associated documents
      • Assist with the creation of accounting memos and client invoices
      • Communicate with executives across the organization in order to accurately update and maintain client lists and various reports
      • Assist with the optimization and adherence of procedures
      • Draft correspondences and other formal documents, as needed
