  • Account Coordinator

    RUBENSTEIN is seeking a talented, motivated and dynamic Account Coordinator to provide public relations support for account executives and account teams across the firm. This is an entry level opportunity.

    The Account Coordinator will assist with media research and outreach, presentations, and project coordination; build media lists and databases; and compile client reports. Additionally, the Account Coordinator will respond to basic client and media requests. This role may also have writing, proofreading and pitching responsibilities.

    RUBENSTEIN’s clientele includes: global corporations, media and entertainment companies, financial services organizations, educational and cultural institutions, law firms, health care providers, not-for-profit organizations, real estate companies, business executives and public figures.

    ESSENTIAL RESPONSIBILITIES

    • Field inquiries from the media, coordinate projects, and develop briefing materials
    • Assist in writing, editing and proofreading communication materials (i.e., press releases, media advisories, and client correspondence)
    • Provide support in researching, compiling and analyzing media coverage for  clients (i.e., produce news clippings, organize media recap reports)
    • Compile and summarize client PR activity through internal weekly and monthly reports
    • Create and build media distribution lists for media outreach (i.e., Cision, Google)
    • Distribute press releases and media advisories
    • Follow up with media to verify contact information, pitch status
    • Assist with event check-in, press pen, escorting talent and general needs of event staff
    • Ensure that account managers are kept fully informed regarding activities of client plans
    • Assist in pitching stories to the media, as needed
    • Initiate new media relationships
    • Stay current on industry trends, social media, and activities in assigned sectors

  • Accounts Receivable & Billing Specialist

    RUBENSTEIN is seeking a talented, motivated and dynamic Accounts Receivable & Billing Specialist to provide financial and administrative support in order to ensure timely, efficient and accurate billing and collections processes. This position will report to the Senior Accountant within the Finance and Accounting Department, and will also work in close partnership with the VP of Operations & Finance and the Chief Financial Officer.

    RUBENSTEIN’s clientele includes global corporations, financial services firms, technology companies, educational and cultural institutions, law firms, health care providers, not-for-profit organizations, real estate companies, media and entertainment companies, business executives and public figures.

    ESSENTIAL RESPONSIBILITIES

     Billing

    • Ensure all client billings are sent out on a timely basis in accordance with set schedule and including appropriate supporting documentation for reimbursable expenses; analyze unbilled expense reports, compile information from client files, and prepare drafts for Senior Management to review prior to sending out the final invoices
    • Maintain client flies in digital format
    • Set up billing schedule in accounting system for new clients
    • Process and post cash receipts; apply all payments to accounts receivable sub-ledger; make necessary adjustments in accounting system

    Collections

    • Work closely with the Senior Accountant, VP of Operations & Finance and CFO to ensure shared and up-to-date understanding of all accounts receivable
    • Research outstanding payments; use established collections procedures to follow up on all outstanding payments
    • Daily review of collection reports to ascertain status of collections and balances
    • Audit delinquent accounts considered to be uncollectable to ensure maximum efforts have been taken before assigning bad-debt status to account; recommend write-offs, as appropriate
    • Work closely with division heads to ensure collection guidelines are adhered to and issues quickly resolved

    Management Reporting

    • Produce aging accounts receivable reports for distribution
    • Reconcile accounts receivable aging to the general ledger for month-end and year-end close
    • Compile data, conduct statistical and analytical studies of billing volume, dollars billed, payments received, bills outstanding, cash and revenue fluctuations, and preparing regular and special reports for review in planning and evaluating department objectives

    Other

    • Field and resolve day to day requests from team leads, AE’s and clients
    • Assist in the creation and implementation of process improvements and efficiencies; shift away from paper-based files to electronic billing and record keeping
    • Cross train for accounts payable, expense report, and management reporting process
    • Assist on special projects as assigned

    KNOWLEDGE & SKILLS

    • Demonstrated knowledge and application of Generally Accepted Accounting Principles (GAAP)
    • Ability to comfortably and effectively interact and communicate with diverse group of people and audiences at all levels, including the c-suite, in written and oral presentation

  • Vice President, Corporate and Financial Services Public Relations

    RUBENSTEIN is seeking a talented, motivated and dynamic Vice President, Corporate & Financial Services to provide strategic counsel and media relations across a range of financial services and corporate clients, including: hedge funds, private equity, venture capital and other investment management firms, financial institutions, banks and other corporates.

    A background in public relations in the financial services sector is required. Working knowledge of the capital markets and the investment industry is preferred, as is the desire to work in a team-oriented, highly collaborative environment.

    ESSENTIAL RESPONSIBILITIES

    • Craft, manage, implement and convey clients’ messages through a full range of media outreach; cultivate effective relationships with financial and mainstream business news outlets on the local and national level
    • Serve as a day-to-day client contact, where appropriate, continually fostering client-agency relationship, building trust, and anticipating and addressing client needs
    • Contend with and navigate highly confidential, sensitive information and issues on behalf of clients
    • Write creative and effective press materials, campaign plans and communication materials; draft messaging and talking points for senior management presentations, including preparing executives for press interviews
    • Pitch to media and execute long-range communications strategies that raise the profile of the client and its executives, securing coverage with regional and national publications
    • Cultivate, establish and maintain working relationships with all levels of national, local and trade media
    • Oversee content creation on social media and the distribution of press materials across platforms
    • Nimbly work well within a collaborative team account structure; actively mentor an array of junior staff and guide their ability to meet deadlines, enhance skills and cultivate media relationships

    KNOWLEDGE & SKILLS

    • Excellent, demonstrated writing and analytical skills, with documented ability to craft press releases, media pitches, in-depth PR plans, analyses and strategic communications materials (AP Style knowledge a plus)
    • Conversant in current breaking news both nationally and globally, particularly in business and finance
    • Ability to understand complex financial issues, data and research and articulate these into subjects of interest for the media, as well as demonstrated skill in handling C-suite issues and executive positioning
    • Strong relationships with financial media outlets on local and national level; proven record in delivering PR results across print, online and broadcast
    • Strong communications and presentation skills with the ability to communicate with a diverse group of people and audiences; agility and versatility to stretch across client sectors, and the ability to effectively present work to colleagues and clients at all levels
    • Understanding of the intersection between traditional and social media and how different outlets can serve different purposes
    • Demonstrated proficiency and affinity for social media / digital tools and platforms, and the eagerness to learn and stay current in the digital space
    • Ability to think critically, creatively and develop new and interesting ideas
    • Ability to manage time, multi-task and move quickly with efficiency and attention to detail while ensuring deadlines are met
    • Excellent communication and interpersonal skills; focused on team success and collaboration
    • Familiarity with day-to-day tools such as PowerPoint, MuckRack, Cision, Meltwater, etc.
    • Facility with Bloomberg terminal a plus

    EDUCATION & WORK EXPERIENCE

    • 8 – 10 years of client and media relations experience at a PR agency or on an in-house communications team preferred
    • Direct publicity experience in the financial services sector is required
    • Knowledge of the financial industry and the capital markets, with an understanding of a range of investment strategies, is preferred
    • College degree preferred – focus in Communications, Journalism, English or Business is ideal

    WORKPLACE | COMPENSATION & BENEFITS

    Workplace: We have transitioned into a hybrid workplace model with designated on-site and remote workdays. Our schedule is Monday and Friday from home, and Tuesday, Wednesday, Thursday in the office. Staffers are required to be within commuting distance of our office on remote/flexible days.

    COVID-19: Employees must be fully vaccinated against COVID-19 (i.e., at least 2 weeks after last dose). If hired, the candidate must present proof of vaccination before start date. Candidates may request an accommodation due to disability, sincerely held religious belief or exception required under applicable law.

    Compensation: $120,000 – $180,000. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on a number of factors, including (but not limited to): the skills, qualifications, and experience of the applicant along with the requirements of the position, and business or organizational needs. The Company reserves the right to modify this pay range at any time. Employees are also eligible for a discretionary bonus not included in this pay range.

On December 1st the U.S Supreme Court will hear Dobbs v. Jackson Women’s Health Organization, the most consequential abortion rights case to reach the court in nearly 50 years. As part of our work with The Center for Reproductive Rights (@ReproRights) helping to promote their vital work to protect abortion rights in the US and around the world, we recently brought @TIME to visit the last abortion clinic in Mississippi, Jackson Women’s Health Organization, which is represented by @ReproRights.
 
Julie Rikelman, Senior Director of Litigation, who will be arguing for the Center before the Supreme Court, spoke with TIME about the monumental stakes of this moment, noting that “if the Supreme Court upholds this ban, it will have effectively overturned Roe v. Wade.”

Amid unfathomable pain and loss, we also remember how New York came together to recover. Together, we rebuilt lower Manhattan, we showed our resiliency to the world, and the world rediscovered its love for this city.

Today, we are again coming back from a painful chapter in our City’s history. We must find that same resilience and spirit as we envision and rebuild a city that’s stronger and more vibrant than ever.
