Account Coordinator (Entry Level PR)

RUBENSTEIN is seeking a talented, motivated and dynamic Account Coordinator to provide public relations support for account executives and account teams across the firm. This is an entry level opportunity.
The Account Coordinator will assist with media research and outreach, presentations, and project coordination; build media lists and databases; and compile client reports. Additionally, the Account Coordinator will respond to basic client and media requests. This role may also have writing, proofreading and pitching responsibilities.
RUBENSTEIN’s clientele includes: global corporations, media and entertainment companies, financial services organizations, educational and cultural institutions, law firms, health care providers, not-for-profit organizations, real estate companies, business executives and public figures.
ESSENTIAL RESPONSIBILITIES
- Field inquiries from the media, coordinate projects, and develop briefing materials
- Assist in writing, editing and proofreading communication materials (i.e., press releases, media advisories, and client correspondence)
- Provide support in researching, compiling, and analyzing media coverage for clients (i.e., produce news clippings, organize media recap reports)
- Compile and summarize client PR activity through internal weekly and monthly reports
- Create and build media distribution lists for media outreach (via MuckRack, Google)
- Distribute press releases and media advisories
- Follow up with media to verify contact information, pitch status
- Assist with event check-in, press pen, escorting talent and general needs of event staff
- Ensure that account managers are kept fully informed regarding activities of client plans
- Assist in pitching stories to the media, as needed
- Initiate new media relationships
- Stay current on industry trends, social media, and activities in assigned sectors
- Familiarity with day-to-day tools (Microsoft Office Suite, MuckRack, Critical Mention, Meltwater, etc.) a plus
KNOWLEDGE & SKILLS
- Must be well-organized and able to prioritize all daily activities with a keen eye for detail
- Able to handle multiple tasks with a strong sense of urgency under tight and shifting time pressures
- Be news savvy and up-to-date on current events
- Capable of communicating effectively in written and oral presentations
- Able to synthesize information into a concise format

EDUCATION & WORK EXPERIENCE
- College degree preferred – focus in Communications, Journalism, English or a related field is ideal
- Prior internship experience preferred (i.e., public relations, journalism, marketing, or communications)
WORKPLACE | COMPENSATION & BENEFITS
Workplace: We have transitioned into a hybrid workplace model with designated on-site and remote workdays. Our schedule is Monday and Friday from home, and Tuesday, Wednesday, Thursday in the office. Staffers are required to be within commuting distance of our office on remote/flexible days.

RUBENSTEIN is seeking an Executive Assistant to provide support for senior executives in several of the firm’s divisions.
The ideal candidate is discreet, trustworthy, and personable, and will have administrative experience in a corporate setting and specific, demonstrable capabilities, including: superlative detail orientation, the ability to juggle many tasks in a deadline-driven environment, heavy calendar management and phone work for senior leadership, flawless coordination of travel arrangements including all pre-travel prep and post-travel evaluation across multiple time zones, excellent organizational skills, superior written and verbal communication skills, a strong aptitude for Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), and a strong acumen for internet research and social media.
ESSENTIAL RESPONSIBILITIES
In addition to mastery of general administrative assignments, the successful candidate will be instrumental in the groups to organize all facets of their day-to-day activities.
- Answer incoming calls and field requests, as needed; maintain phone/call logs for Senior Vice Presidents, Executive Vice Presidents, and Managing Directors
- Manage all meeting and calendar scheduling
- Greet and escort guests to conference rooms, ensuring proper set-up in advance
- Coordinate travel arrangements for domestic and international business trips, including flights, lodging, car services, and reservations; create detailed itineraries
- Make copies and prepare documents (e.g., briefings) for internal and external meetings
- Conduct research and information gathering for meetings and presentations, as directed
- Compile departmental weekly reports and submit to senior management each Friday
- Track executives’ expenses; submit and reconcile expense reports; monitor group budgets
- Develop a deep understanding of RUBENSTEIN’s business and procedures
- Maintain a schedule of all vacation, personal, sick, and work-from-home time for each member of the group that is regularly relayed to Human Resources

ESSENTIAL RESPONSIBILITIES
- Craft, manage, implement, and convey clients’ stories and messages through a full range of media outreach; cultivate, establish, and maintain working relationships with all levels of local, national, international, and trade media
- Serve as a day-to-day client contact, continually fostering client-agency relationships, building trust, and anticipating and addressing client needs
- Write creative and effective press materials, client briefings, campaign plans, and communication materials; draft messaging and talking points for senior management presentations, including preparing executives for press interviews

KNOWLEDGE & SKILLS

- Demonstrated proficiency and affinity for social media / digital tools and platforms, and the eagerness to learn and stay current in the digital space; experience utilizing social media platforms to achieve client objectives; understanding of the intersection between traditional and social media and how different outlets can serve different purposes
